MINIBUS USE POLICY FOR COMMUNITY GROUPS
Our minibus use service is only available to non-profit making community and voluntary groups. The minibus is operated under the Small Bus Permit legislation. This means that: The minibus can only be used by groups registered as members of H.A.R.T. The minibus cannot be used by an individual or a member of the general public. The minibus cannot be used for activities (or as part of activities) which are profit making. Whilst in use, a minibus can only be driven by someone who is on the H.A.R.T. Register of Drivers. The minibus may be used by a member group on either a self-drive basis or a with-driver basis. (see Drivers below)
MINIBUSES The minibuses can carry 12 or 16 passengers (excluding the driver) All vehicles are fitted with a passenger-lift and have removable seats to allow the carriage of passengers in wheelchairs. The maximum number of seats is reduced when carrying passengers in wheelchairs, this varies between buses, please ring the co-ordinator for further details. Seatbelts are to be worn at all times when the vehicle is in motion, unless passengers hold a medical exemption certificate. DRIVERS Anyone driving the minibus must be on the H.A.R.T. Register of Drivers, and have successfully completed the Minibus Driver Awareness Scheme (MiDAS) training course. In the interests of safety, the driver is always in charge of the vehicle whether there is an escort on board or not PASSENGER ASSISTANCE If members of your group use a wheelchair, have special needs, or require personal help it is your responsibility to provide a passenger assistant. The drivers can only help in boarding and alighting from the minibus. Please do not ask them to carry out a task for which they are not qualified or trained. CHILDREN If groups wish to provide child seats, these must be certified to the appropriate safety standard, and compatible with the vehicle. BOOKING Bookings can be made by telephone 01964 536684 Please give as much notice as possible to ensure that both the minibus and driver (if necessary) are available. CANCELLATION If you have to cancel your journey, please let the organiser know as soon as possible. If you fail to cancel the reservation more than one week in advance, a cancellation fee of £10.00 will apply. CHARGES If using your own driver please note, the minibus will be full of diesel fuel when collected, please return full using the fuel card provided. The cost of fuel is already included in the session charge; you do not pay for fuel. Keep all fuel receipts and return with fuel card, vehicle keys and logsheet. There will be a session charge of £35.00 which includes the first 50 miles. Subsequent miles will be charged at 50p per mile. There could be some flexibility with booking times but as a rough guide a session is: Morning 08.00 – 12.30 Afternoon 13.00 – 17.00 Evening from 17.30
A full day will be charged at £60.00 which includes 100 free miles. Subsequent miles will be charged at 50p per mile. Invoices to be paid within 30 days of receipt. SMOKING, EATING & DRINKING Under no circumstances must smoking, eating or drinking be allowed on the minibuses. VEHICLE CLEANLINESS The minibuses must be returned on time and in a clean and tidy condition. Failure to do so will result in a charge of £10.00 being added to your invoice. Basic cleaning materials such as bin bags and wipes can be found in the minibuses. HART is run on a voluntary, non profit-making basis and our policies and charges will be reviewed regularly.
